Interactive Forms Processing (IFP)

Automate Complex Legal Forms
Problem:  Customers are required to complete a complex series of interrelated forms.  Counter staff are tied up by assisting customers in this task, averaging 40 minutes per encounter.  Forms are mandated and cannot be redesigned. Solution:  Intresys developed an Interactive Forms Processing (IFP) e-forms architecture that allowed us to establish a rules-based on-line, simple question and answer session that would determine forms that are needed, complete those forms consistently and accurately, and allow them to be printed, all over the Internet.  Result:  Counter staff time per encounter decreased by 55%. Family Law Facilitators reported needing only 15 minutes to assist users of the system as compare with 45 minutes for non-users.

Automate Child Support Application Filing
Problem:  The application process for child support services is confusing, cumbersome, and lengthy, especially for those for whom English is a second language. Applications received by local child support agencies (LCSA) are typically incomplete, illegible and contain inaccurate information. Staff must personally contact the applicant, often several times, to make corrections or obtain missing information, creating delays in opening a case and obtaining child support for the family. Solution:  Intresys adapted its TurboCourt court solution so that it can be used by state and federal government agencies. The same guided interview process is utilized and the application is also available in Spanish. The application may be submitted electronically and required supporting documents and forms may be attached ensuring that the application is complete, accurate, and legible. In addition, there is a link with Intresys' California Superior Court’s E-Z Legal File, which offers child support services to those filing for a divorce. Data already entered for divorce forms is transferred to the child support application. The link facilitates speedy activation of court ordered child support enhancing family self-sufficiency.  Result:  LCSAs get complete and legible applications, including those from Spanish speaking filers, with less time needed to interact with the filer. LCSAs have immediate access to the electronically-filed applications, saving mailing and internal routing time. These improvements have cut processing time by 30% enabling 15% more cases to be opened than prior to TurboCourt. LCSAs can extend free child support services to more people than previously possible and open child support cases more quickly, getting critical support to families.

Improve Court's Knowledge Management and Training
Problem:  Court needs a system to acquire, store, and apply knowledge of policies, procedures, and laws for training, problem solving, and decision making throughout its organization. Solution:  Intresys developed the Trophy knowledge management and training system. It allows the court to provide step-by-step instructions for any procedure and includes instant access to reference materials and examples. Automate Complex Case Scheduling and Resources
Problem:  Schedule multiple locations, numerous interrelated types of resources and personnel, ensure that required processes are coordinated while leaving flexibility for real time changes and additions.

Solution:  Intresys developed the Master Calendar schedule management system for San Mateo Superior Court that includes standard monthly and weekly schedule templates, allows assignment of judges, clerks and other resources on a monthly or daily basis, and integrates vacation, sick leave and other absence processing. The system also integrates individual case assignment with consideration for employee skill sets.

Plan and Develop Capital Program's Budget
Problem:  Public agency with responsibility for a large number of capital projects, funded by multiple granting agencies with local matching requirements that must be met in a timely fashion.
